My Drive

Private files and viewer sharing, with folders, previews, shared views, an archive and a bin.

This area is only partly available. The page says what works today and what does not.

My Drive keeps uploads private until explicitly shared. It includes nested folders, filename search, grid and table views, and previews for images, PDFs, text, code and Markdown.

Getting access

My Drive does not appear until an administrator gives you access. Administrators can also decide who may upload, organise or delete.

Files

  • Files up to 30 MB are accepted. Each is checked by its type and content, and can be scanned for malware.
  • If a name is already used in a folder, a number is added: report (1).pdf.
  • Archiving or deleting a folder treats everything inside as one set, and restoring brings back exactly that set.
  • Files stay private unless shared with permitted viewers. There are no public links.

What is not available

Public share links, previews of Office documents (they show details and can be downloaded), and searching inside file contents are not available.

Private and shared content

Uploads remain private unless explicitly shared. Use the item menu at the top-right of a card or row and choose Share. Select a person and choose Share as viewer. The recipient needs Drive access; preview and download also require their download permission. Administrators can share with all members who have Drive access.

Use My Files for owned items, Shared with me for grants received, Shared by me for grants you created, and Organization for organization grants. Existing All Files, Archived and Deleted / Bin views remain available.

Folder grants apply to active subfolders and files, including future uploads. Recipients can browse and read permitted content, but cannot change it through a viewer grant. Owners and people with existing management access keep their normal permissions. Private parent folders are not exposed by sharing a nested item.

Choose Revoke in Share to remove a direct grant. Access through that grant ends immediately on subsequent requests; a separate direct or organization grant can still provide access. Files already downloaded cannot be recalled. To share future uploads, share their destination folder first and upload into it as an owner or authorized manager.
