Tasks
Assign and track work in board or list views, link projects and review tasks proposed from meetings.
Tasks can be assigned, prioritised and tracked in board or list views. Progress runs from 0 to 100 percent and every task keeps a full activity history.
Working with tasks
- Create a task with a title, description, assignee, priority and due date. Descriptions support rich text: headings, lists, links, bold and italic.
- Attach files to a task. Attachments are private to the people who can see the task.
- Update progress as work moves forward; the history shows who changed what and when.
- Overdue reminders are sent automatically.
Who sees what
Employees can create tasks for themselves and see the tasks assigned to them. Managers and administrators see everything.
Projects
Choose an optional Project when creating or editing a task. Search the selector to find an accessible project, or choose No project to clear it. The list shows the project name and supports filtering by project. Task details link to the project. Archived projects retain existing links but cannot receive new task assignments.
Tasks from meetings
When configured, PIY Bot can propose actions from consented calls. In the meeting workspace, choose Review and create task, check the title, description, assignee, due date, priority and optional project, then submit. Proposals do not create tasks automatically. Created tasks include a Source meeting link; opening it still requires meeting access. See Chat, calls and notifications.
Priority and severity
Priority is Low, Normal, High or Critical and is drawn the same way everywhere: lists, board cards, task details, filters and the Welcome page. Severity (Minor, Major, Critical) is optional and says how badly the underlying problem hurts, while priority says how soon it should be done.
History
Open a task and scroll to History for a timeline of what happened, oldest changes included: creation, status changes (previous and new status), reassignments, priority and due-date changes and comments, each with who did it and when. When you edit a task you can add a reason, which is kept with the change. The server writes this history, so it cannot be edited or faked from the browser.
Reopening a finished task is recorded as a reopening. The earlier completion stays in the history; nothing is reset or deleted. Only a manager or admin can reopen a completed task.
Time tracking
In a task, choose Start timer and later Stop. The timer runs on the server, so refreshing the page or closing the browser does not lose it. You can have one running timer at a time; stop it before starting another task. Pausing means stopping the timer and starting it again later, and the gap is not counted. If you forgot to start, use Add time manually (date, from, to, optional note). Entries cannot be in the future, longer than 24 hours or overlap another entry of yours.
Managers and admins can record time for others and remove an entry. Removing needs a reason; the original values and the reason are kept in an audit trail and the entry no longer counts.
Time report
Choose Time report on the Tasks page to total time by employee, task or project for a date range (up to a year). Managers and admins see everyone; employees see only their own time. Totals are the sum of recorded sessions, never an estimate from creation and completion dates. Reopened tasks keep all earlier time, removed entries are excluded, and a session still running is shown separately until it is stopped. Use Export to download the rows as CSV.
