PIY Bot, the AI manager

PIY Bot's AI manager chat is for administrators. You can talk to it by typing or by voice. Its meeting assistant is a separate feature with its own permissions, configuration and participant consent.

What it can do

• Answer questions and prepare reports.
• Create or update tasks, check attendance, schedule events and manage applicants, described in plain language.
• Send scheduled digests and reminders. Managers and administrators can set up these automations.

Confirmation and audit

When a request would change something, PIY Bot shows what it is about to do and waits. Nothing changes until you confirm, and each change is recorded in an audit log. You can cancel instead.

Who can use it

Chatting with the AI manager is reserved for administrators. Managers can manage the automations. Meeting assistance follows call permissions and participant consent; it does not give participants access to administrator chat.

Meeting assistance

When enabled by an administrator, a joined call host or authorised manager can request transcription after every joined participant agrees. PIY Bot processes the captured audio after capture stops and can produce a transcript, discussion notes, decisions, risks, open questions and proposed actions. This is not live transcription, timestamps are approximate, and speakers are not identified.

Open Meetings in the conversation to review eligible artifacts. Choose Review and create task to check and edit a proposed action before submitting it, including an optional project. Nothing is assigned automatically; created tasks link back to the source meeting.

Recording and transcription need separate consent. Declining prevents capture; withdrawing consent or a participant joining or leaving stops it. Stopping PIY Bot aborts processing and discards pending raw transcription clips; a separately saved recording remains subject to deletion and retention. Using it well

PIY Bot's answers can be incomplete or wrong. Check anything important before relying on it, and read what it is about to do before you confirm. In pGmail, the assistant only drafts replies for you to edit; it never sends mail by itself.
